Client Onboarding Automation

A two-stage onboarding flow triggered by CRM updates — auto-generating contracts, setting up project workspaces, and activating the delivery team in minutes.



Project Breakdown


  • Problem:

The agency’s manual onboarding process for new clients was time-consuming and prone to errors, requiring multiple systems (CRM, contract signing, subscriptions, dashboards, Slack) to be updated manually. This delayed project kick-offs and increased administrative overhead.

  • Solution:

I designed a two-stage automated onboarding flow. The first stage is triggered when a lead is marked as “Won” in the CRM, generating contracts, subscriptions, and Slack channels. The second stage, upon internal team selection, activates project dashboards, folders, and time-tracking systems—all integrated and synchronized.

  • Outcome:

The process reduced onboarding time from hours to minutes, ensured data accuracy across platforms, and provided the team with ready-to-use workspaces and the client with a seamless experience.
